Troy's longtime partner since college. Owns data and list operations. The reason every campaign hits the right people, not just any people.

Most people building cold email lead lists are doing it the hard way. They pull contacts from Apollo, export a CSV, run it through a verifier like ZeroBounce or MillionVerifier, clean the formatting, strip out the LLC suffixes, remove the all-caps entries, and then, finally, upload it to their sending software. That whole process can eat an hour before you've sent a single email. ListKit cuts that entire chain down to one step.

I've used this tool to build lists for my own clients at BuzzLead, and the workflow I'll walk through here took me nine minutes from a blank screen to a verified, campaign-ready lead list sitting inside Smartlead.

Why ListKit Over Apollo or Other Scraping Tools

Three things make ListKit my go-to for list building.

First, credits roll over. With Apollo and most alternatives, unused credits disappear at the end of your billing cycle. With ListKit, they carry forward. If you have 1,500 credits left on the last day of the month, they're there for you next month. No wasted spend.

Second, triple verification is baked in. ListKit integrates directly with Scrubby, a catch-all email validator, so every contact that comes back to you has already been checked. You're looking at a 90% match rate on verified, valid emails. On a list of 21,000 contacts, that means roughly 19,000 are safe to send to. You don't need to export anything or run it through a separate tool.

Third, the direct Smartlead integration means your contacts go from ListKit into your active campaign with one button. You connect your Smartlead API key in the settings tab once, and from then on, every list you build can push directly into whichever campaign you select. Press redeem, pick the campaign, done.

Setting Up Your Filters the Right Way

When you log into ListKit, you'll see pre-defined filter templates, searches that ListKit has already built out for common ICPs like decision-makers at digital marketing agencies or contacts at SaaS companies. These are useful if you're starting fresh and don't know where to begin, but for client work I almost always build from scratch.

The key habit: always start with company filters before touching people filters.

Figure out the industry and company size first. For a recent campaign I built for a client called Signup, a social media management platform, I set the industry to marketing and advertising, the company size to 1-50 employees, and added keyword filters for "social media marketing," "social media management," and "social media agency." I also added geographic filters for the US and Canada, since that's where my client's buyers are.

Only after those company parameters were locked did I move to people filters. For this campaign, the right job titles were: founder, owner, social media marketing manager, chief marketing officer, marketing director, head of marketing, and brand manager. Small businesses have flatter org charts, so the decision-maker pool is wider than you'd expect.

That combination pulled 21,600 contacts matching the ICP.

Capping Contacts Per Company and Avoiding Duplicates

Once you've confirmed your query, ListKit shows you the total contact count and lets you set a maximum number of contacts per company before you redeem credits. For small businesses, I set this to three. Going higher wastes credits and leads, if you're targeting a 10-person agency, emailing five of them from the same campaign is just noise.

On duplicates: ListKit gives you two ways to avoid scraping the same contacts twice. You can manually paste the company domains you've already pulled into an exclusion field. Or, right before you redeem, you can use the "exclude all previous orders" option, which automatically removes any contact from a past ListKit order. The manual method is better if you're running multiple clients going after similar ICPs, you wouldn't want to exclude a contact just because they showed up in a different client's list.

The Data Visualization Tab Is Underrated

Before you redeem credits, click the data visualization tab. It breaks down the geographic distribution, job title spread, and LinkedIn activity for every contact in your filtered results.

For the digital marketing agency search I referenced earlier, 65% of the 42,000 contacts were active on LinkedIn. That's a direct signal to consider running omnichannel outreach, Smartlead supports both email sequences and LinkedIn touchpoints, so you can build campaigns that hit both channels from the same contact list.

The keyword breakdown is also useful. It shows what percentage of results are genuinely aligned to the keyword you entered. That helps you catch a filter that's too broad before you burn credits on it.

Pushing the List Into Smartlead

After you hit redeem, the list takes roughly 15 minutes to process while ListKit verifies the emails through Scrubby. You'll get a notification when it's ready.

Once processed, the contacts flow directly into the Smartlead campaign you selected at checkout. Go to the leads tab of that campaign and they're there, no CSV, no upload, no formatting cleanup. From there, all that's left is confirming your copy is dialed in and hitting play.

The whole process I walked through here, from blank filters to a 1,000-contact verified list inside an active Smartlead campaign, took nine minutes.

Key Takeaways

  • Start every list build with company filters (industry, size, keywords, location), then layer in people filters. Reversed order leads to bloated, misaligned results.

  • Set a maximum of three contacts per company when targeting small businesses. More than that wastes credits without improving reply rates.

  • Use the data visualization tab before redeeming to confirm geographic and job title distribution, and to spot LinkedIn saturation for omnichannel decisions.

  • ListKit's Scrubby integration means you skip the external verification step entirely. Verified emails flow straight to your sending software.

  • Credits roll over, so there's no pressure to burn your balance before the billing cycle resets.

  • The Smartlead API connection is a one-time setup. After that, every list goes directly into your campaign with no manual file handling.

Frequently Asked Questions

How does ListKit verify email addresses? ListKit has a built-in integration with Scrubby, a catch-all email validator. Every contact you scrape gets checked automatically before the list is delivered to you. According to my experience with the tool, you can expect around a 90% verified match rate, meaning the vast majority of contacts you pay credits for will have valid, sendable email addresses.

What's the difference between ListKit and Apollo for building lead lists? The core workflow difference is verification and integration. With Apollo, you export a CSV and then run it through a separate tool like ZeroBounce or MillionVerifier before cleaning and uploading to your sending software. ListKit handles verification internally and integrates directly with Smartlead, so the list moves from scrape to active campaign without any manual steps in between. Credits also roll over on ListKit; on Apollo they don't.

How do I avoid pulling duplicate contacts across multiple list builds? ListKit offers two options. You can manually paste company domains you've already scraped into an exclusion field before you build. Or, right before redeeming credits, you can select "exclude all previous orders," which automatically filters out any contact from a prior ListKit pull. If you're managing multiple clients with overlapping ICPs, the manual domain exclusion method gives you more control.

How long does it actually take to build and deploy a lead list using ListKit? The filter setup and checkout process takes about nine to ten minutes if you know your ICP. ListKit then takes roughly 15 minutes to process and verify the list. Once complete, the contacts push directly into your selected Smartlead campaign via the API integration, no additional upload or formatting time required.
